How should I secure exchange messages with my colleagues?

Do you want to provide a colleague with confidential information? Patient medical records, invoices and other important files should always be sent and stored in a secure, encrypted manner.

 

We cannot guarantee that the use of external popular messaging services is always safe for your clinic or practice. To give you the assurance that all messages sent and received during your workday are always 100% private and secured, we introduced the internal chat. It works exactly the same way like your other communications apps! Except that all information is secured by our system.

To facilitate your day and communication with your co-workers, we have made available the  My Team tool , within the  Messages  menu of your Calendar. 

  • Access your Doctoralia Calendar here
  • In the left menu, click  Messages  (1)

  • Then select the  My Team  option (1). In this section, you will find the hub of all messages exchanged with members of your medical center team. 

⚠️ To be able to create a new conversation, both professionals need to have their user created in the Agenda. Having trouble adding a new user? Click here <- 



  • To send a new message, click  +New message  (1)
  • Select the  My team  option (1) and then click on the search bar to select which medical center address/unit you want to communicate with (2).
  • Find the user you want to communicate with and click  Send message
  • Automatically, a chat window will open on your screen. Simply enter your message (1) and send the message by clicking the Send arrow (2).
  • All conversations are recorded in  the My Team tab. 
 

 

1. Is using internal chat safer than using other messaging applications?
Message service and email are both safe, but have limitations to their security and privacy. If confidentiality is critical for your communication, it is best to use the internal chat that is part of our service. 

2. What kind of messages can I send using internal chat? 

You can send whatever information you wish. Just bear in mind to always log out of your account after finishing your shift. 

 

3. I don't have permissions to access messages, can I use internal chat? 

Of course you can! You don't need any additional permissions to be able to freely use our chat. 

 

4. Can other colleagues see my messages? 

These conversations are always 1 to 1. Whenever you are a doctor, clinic manager or a secretary, nobody else will have access to your conversations.
